Hire Arena Inc., operating under the brand name "Talents Arena" ("Talents Arena," "we," "us," or "our"), respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal data through our website, our candidate portal, and the wider Talents Arena platform — including Talent Studio, Talent Bot, Talent Link,and the AI Sourcing & Matching Engine that powers our Managed Hiring Services collectively, the "Services."
This Policy should be read together with our Terms of Service. By accessing or using the Services, you acknowledge that your personal data will be processed as described in this Policy. Where we act as a data processor on behalf of a Client, this Policy is supplemented by the data processing terms in our Client agreement, and the Client — not Talents Arena — is responsible for that processing as data controller.
We are accredited by SDAIA (سدايا) as a responsible and ethical AI service provider for our hiring engine, and we design our data practices to align with that accreditation and with applicable data protection law across our markets.
Candidate: an individual who creates or maintains a profile on the Talents Arena candidate portal in order to be discovered and matched to job opportunities.
Client: a company or organization that uses Talents Arena's Services to source, screen, assess, or hire talent, and any individual acting on that company's behalf.
Data Controller: the entity that determines the purposes and means of processing personal data.
Data Processor: the entity that processes personal data on behalf of, and under the instructions of, a Data Controller.
Data Subject: an identified or identifiable natural person to whom personal data relates, including Candidates, Client Users, and website visitors.
Personal Data: any information relating to an identified or identifiable natural person.
Process / Processing: any operation performed on personal data, whether automated or not, including collection, storage, use, matching, disclosure, or deletion.
Candidates — individuals who create a profile on our candidate portal, upload a CV, or complete any assessment.
Client Users — recruiters, hiring managers, HR leaders, and other representatives of Client organizations who access Talent Studio, Talent Bot, or Talent Link on behalf of their employer.
Prospective Clients — individuals or organizations exploring our Services by visiting our website, requesting a demo, or submitting an inquiry.
Website Visitors — anyone browsing talentsarena.net, regardless of whether they submit personal information.
Partners & Affiliates — representatives of accelerator, ecosystem, or referral partners engaging with us through the Services.
When you create or update a candidate profile, we may collect: your name, contact details (email, phone number), CV/resume and work history, education, skills and certifications, years of experience, location, salary expectations (where provided), psychometric, technical, language assessment results, and any communications you exchange with our team as part of the Managed Hiring Cycle screening and interview process. We do not knowingly collect sensitive categories of data (such as health information, religious affiliation, or political opinions) unless you voluntarily provide it as part of an assessment or interview, and where required by law we will seek explicit consent before processing such data.
When a Client registers for the Services, requests a demo, or engages with our sales and account teams, we collect business contact information (name, work email, phone number, job title, company name), account credentials, billing and payment details, job requisition and hiring-need information, and records of Client Users' interactions with candidate profiles and Output within the platform.
When you visit talentsarena.net, submit a contact or demo-request form, or subscribe to updates, we collect the information you provide (such as name and email address) and, where applicable, marketing preference information.
Like most online platforms, we and our service providers automatically collect certain data when you use the Services, including IP address, device and browser type, operating system, pages visited, time spent, referring/exit pages, and general location (such as city or country) inferred from your IP address. We use cookies and similar technologies to collect this data — see Section 13 (Cookies).
We process personal data for the following purposes:
AI-powered matching: to operate the AI Sourcing & Matching Engine, which scores and ranks Candidate profiles against open roles using three pillars — Skill Fit, Culture Fit, and Industry Fit — and to power the human screening and interview stage of the Managed Hiring Cycle.
Delivering the Services: to create and manage accounts, present candidate matches to Clients, schedule interviews, run assessments, and provide Talent Studio's workforce intelligence features to Clients that subscribe to them.
Communication: to respond to inquiries, provide customer support, and update Candidates and Clients about the status of a match, application, or account.
Marketing: to send newsletters, product updates, and event invitations (such as JobStack or Tech Leaders Meetup) where you have opted in or as otherwise permitted by law, and which you may opt out of at any time.
Analytics & improvement: to understand how the Services are used, troubleshoot issues, and improve the accuracy of our matching engine and other features.
Compliance & protection: to comply with legal obligations, enforce our Terms of Service, and detect, investigate, and prevent fraudulent, unauthorized, or unlawful activity.
Depending on your location and the nature of our relationship, we rely on one or more of the following legal bases, consistent with the Kingdom of Saudi Arabia's Personal Data Protection Law (PDPL), the UAE's Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data, and, where applicable, the EU/UK GDPR:
Consent: for example, when a Candidate creates a profile and consents to being matched with Clients, or when a website visitor opts in to marketing communications. Consent can be withdrawn at any time.
Performance of a contract: to provide the Services a Client has subscribed to, or to operate a Candidate's profile on the candidate portal.
Legitimate interests: to improve and secure the Services, prevent fraud, and engage in reasonable marketing and analytics activity, balanced against your rights and interests.
Legal obligation: to comply with applicable law, regulation, or lawful requests from competent authorities.
In relation to Candidate Data collected through the candidate portal and used to power our own AI Sourcing & Matching Engine, Talents Arena acts as a Data Controller. In relation to Client Data that a Client submits or generates while using Talent Studio, Talent Bot, or Talent Link for its own internal hiring or workforce-management purposes, Talents Arena acts as a Data Processor, processing that data under the Client's instructions and in accordance with our Client agreement. We use trusted service providers who act as our own processors and are contractually bound to protect personal data and use it only to support the Services.
With Clients — when a Candidate is identified as a potential match through the Managed Hiring Cycle, relevant elements of that Candidate's profile are shared with the Client for whom the role is open, for the purpose of screening, interviewing, and hiring.
With service providers — hosting, cloud infrastructure, analytics, communications, payment processing, and customer-support providers who process personal data on our behalf and are bound by confidentiality and data protection obligations.
With professional advisors — such as lawyers, auditors, and insurers, where necessary to obtain their advice or services.
For legal and safety reasons — where we believe disclosure is necessary to comply with the law, respond to a lawful request from a public authority, or protect the rights, property, or safety of Talents Arena, our Users, or others.
In a business transaction — such as a merger, acquisition, financing, or sale of assets, where personal data may be transferred as part of that transaction, subject to appropriate safeguards.
We do not sell Candidate Data to third parties for their own independent marketing purposes, and we do not share Candidate Data with a Client other than as part of a genuine match against a role that Client is hiring for.
The AI Sourcing & Matching Engine scores your profile against open roles using the Skill Fit, Culture Fit, and Industry Fit pillars described in Section 5. This is an automated process, but it does not result in a final employment decision on its own — the Talents Arena team reviews and screens matches before any Candidate is presented to a Client, and the Client makes the final hiring decision.
You may request more information about how a match was generated, and, where applicable local law grants a right to be free from decisions based solely on automated processing that produce legal or similarly significant effects, you may request human review, as described in Section 12 (Your Rights & Choices).
We may use de-identified or aggregated Candidate and Client data to test and improve the accuracy of the AI Sourcing & Matching Engine. Aggregated data of this kind does not identify any individual Candidate or Client.
We implement administrative, technical, and physical safeguards designed to protect personal data, including encryption of data in transit and at rest, role-based access controls limiting access to authorized personnel, and regular security reviews. No system is completely secure, and we cannot guarantee the absolute security of information transmitted to or stored within the Services. If we become aware of a data breach affecting your personal data, we will notify affected individuals and relevant authorities as required by applicable law.
Candidate profiles are retained for as long as your profile remains active, or until you request deletion, subject to a limited retention period thereafter to comply with legal, tax, or dispute-resolution obligations.
Client account and billing data is retained for the duration of the Client relationship and for a period afterward as required for accounting, tax, and legal purposes.
Marketing data is retained until you unsubscribe or withdraw consent.
Subject to applicable law and any exceptions that may apply, you have the right to:
Access a copy of the personal data we hold about you.
Correct inaccurate or incomplete personal data.
Request deletion of your personal data, including removal of your candidate profile from our matching engine.
Withdraw consent at any time, including consent to being matched with Clients or to receiving marketing communications.
Object to or restrict certain processing, including profiling carried out through the AI Sourcing & Matching Engine.
Request human review of a match or decision that was generated solely through automated processing, where applicable law provides for this.
Lodge a complaint with the competent data protection authority in your jurisdiction (for example, the Saudi Data & Artificial Intelligence Authority (SDAIA) in the Kingdom of Saudi Arabia, or the relevant UAE data office).

Where we transfer personal data across borders, we take steps designed to ensure the data continues to receive an appropriate level of protection, including through contractual safeguards, and in compliance with applicable cross-border transfer requirements under the KSA PDPL, UAE data protection law, and, where relevant, the GDPR.
Our Services are intended for use by individuals who are at least 18 years old, or the applicable age of legal majority, and are not directed at children. We do not knowingly collect personal data from children. If we learn that we have inadvertently collected personal data from a child, we will take reasonable steps to delete it.
The Services may contain links to third-party websites or integrations. We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy policies before providing them with personal data.
We may update this Privacy Policy from time to time to reflect changes in our data practices, the Services, or applicable law. Material changes will be posted on our website with a revised "Last updated" date and, where required by law, notified to you by email or in-platform notice ahead of taking effect.
